What is the AI Front Desk?

The AI Front Desk is the always-on base of a Velogics build: smart forms, the website chatbot, automatic booking, missed-call text-back, sync to Follow Up Boss and your calendar, and review follow-up after the job. It is included in the $388 a month Hosting + SEO + AI Agents plan rather than sold on its own. It handles what arrives through your website. It does not answer your phone in a real voice: that is the AI Receptionist, a separate $199 a month add-on.

What is it actually replacing?

For most service businesses, enquiries arrive in four places that have never spoken to each other. A form posts to an inbox. A chat widget, if there is one, is a separate tool with its own login. Bookings live in a calendar somebody keys in by hand. Review requests are a thing you keep meaning to send.

Nothing in that list is broken on its own. What is broken is the joins. The form lead gets a reply the next morning because nobody watches that inbox in the evening. The chat transcript never reaches the CRM. The booking exists in the calendar but not against the lead, so nobody knows which enquiries turned into work.

The Front Desk is one thing sitting across all four, reading from one knowledge base and writing to one CRM. We are not going to put a figure on what that is worth to you, because we have not measured it on your business and neither has anyone else quoting you one.

Why is it a base rather than something you buy on its own?

Because the specialist agents are only worth having if they already know what the others know. The AI Receptionist that answers your phone should quote the same service area, the same hours and the same pricing rule your website chat quotes. The only reliable way to get that is one knowledge base underneath both, rather than two copies that agree on the day they are written and drift after that.

The same goes for the calendar and the CRM. A voice agent booking into one calendar while the chatbot books into another produces double bookings, and it produces them at exactly the moment you are busy enough to have both running.

So the Front Desk owns the shared parts: the knowledge base, the calendar connection, the CRM connection. Add the Receptionist and it plugs into those rather than bringing its own.

What happens during setup?

Setup runs in 24 to 48 hours, and if we are building your website the agents go in as part of that rather than as a second project afterwards. Here is what those hours are actually spent on, because a number with nothing behind it is not much of a commitment.

The work on your side is the material the AI answers from. In practice that is four things: the services you sell and the ones you get asked for but do not sell, your real hours and service area, whatever pricing rule you are willing to state out loud, and the questions that tell you whether a job is worth loading the van for. That last one is the one people underestimate and the one that decides whether you get qualified leads or a pile of names.

The work on our side is loading that into the knowledge base, connecting Follow Up Boss and your calendar, wiring the forms and the chat into your site, and then testing it against questions you already know the answers to. You approve how it answers before it answers anyone real.

Side by side

What it covers, and what it does not.

The last two rows are the ones worth reading twice. The Front Desk is a website front desk. Having your phone answered in a real voice is a different product with a different price.

Frequently Asked Questions

What the $388 plan does and does not buy.

1What is included in the Front Desk, exactly?

Smart Forms, the AI Chatbot, automatic booking, missed-call text-back, sync to Follow Up Boss and your calendar, and review follow-up after a job. All of it is bundled into the $388 a month Hosting + SEO + AI Agents plan alongside the hosting and the SEO work, rather than added as separate lines. There is one price for the plan and the components are not sold off it individually, which is why there is no per-agent price anywhere on this page.

2Does the Front Desk answer my phone?

No, and this is the line we would rather over-explain than have you discover after signing. The Front Desk covers what comes through your website, plus a text back when a call goes unanswered. A caller who wants to speak to somebody right now gets the AI Receptionist, which is a voice agent and a $199 a month add-on on top of the $388 plan. If having the phone answered is the thing you actually want, price the add-on in from the start.

3Do I have to start with the Front Desk?

Yes, if you want any of the agents. It owns the knowledge base, the calendar connection and the CRM connection that the specialist agents plug into, so there is no version where the Receptionist runs on its own with its own separate copy of your business information. Two copies agree on the day they are written and disagree by the end of the month. One source is the whole reason the answers stay consistent across voice, chat and forms.

4What do you need from me to set it up?

Four things, and none of them takes long if you already know them. The services you sell, and the ones people ask for that you do not. Your real hours and the area you actually cover. Whatever pricing rule you are willing to say out loud, even if it is only a starting figure. And the questions that tell you whether a job is worth your time. That last one is what separates a qualified lead from a name and a phone number.

5Which CRMs and calendars does it connect to?

Follow Up Boss natively, with native calendar sync to Google Calendar and Outlook. That is the entire list of connectors that exists today, and we would rather write it out than say we integrate with anything you use. Other systems are custom integration work that we scope and quote per project. If your CRM is the deciding factor, raise it on the scoping call and get an answer before you commit to anything.

6Can it go on a website you did not build?

The components install with one line of code, so technically yes. The complication is commercial rather than technical: the Front Desk is bundled into a Velogics plan that also includes hosting and the SEO work, so if we are not hosting the site there is no plan for it to be bundled into. That makes it a conversation on the scoping call rather than a checkbox, and it is a conversation worth having rather than a no.

Where this comes from

Two things on this page send a message to a customer rather than answering one: the missed-call text back and the review follow-up after a job. Both are commercial electronic messages under Canada's anti-spam legislation, and the CRTC states three requirements that attach to every one of them, consent, identification and a working unsubscribe, and says plainly that SMS to a mobile phone counts. That is worth reading before you turn either on, because the obligation belongs to the business sending them.
