What is the AI Receptionist?

The AI Receptionist is a voice agent that answers your business phone, day or night. It greets the caller by your business name, answers from the same knowledge base your website chat uses, works out what the caller needs, and books a real open slot in Google Calendar or Outlook. Urgent calls transfer to your phone with a whispered briefing first. It costs $199 a month on top of the $388 Hosting + SEO + AI Agents plan, and includes 200 voice minutes.

The difference

What changes when it's on.

Without it
  • Missed calls go to voicemail - and to your competitor
  • After-hours leads are gone by morning
  • You stop work to answer the phone
With AI Receptionist
  • Calls answered on the first ring, day or night, within your 200 monthly minutes
  • After-hours callers get booked instead of lost, on those same minutes
  • You stay on the job - the phone still gets answered
What it does

Everything it handles on the phone.

Answers calls 24/7

Handles calls day or night using the business information you approve.

Knows your business

Trained on your services, hours, and FAQs from the same knowledge base as your chatbot - real answers, not a generic script.

Books into your calendar

Offers real open slots and books the appointment in real time, with a confirmation texted to the customer.

Warm transfer when needed

Detects urgency and transfers the call to you, whispering a quick briefing first so you know who's calling and why.

One shared knowledge base

Voice, chat, and forms all answer from the same source - update once and everything stays in sync.

Recorded & transcribed

Every call is recorded and transcribed in your dashboard, so nothing slips through.

In more detail

What does a caller actually hear?

It picks up on the first ring and greets them by your business name, not by ours. From there it is a conversation rather than a menu. There is no press one for sales, no hold music, and no queue, because there is nothing to queue behind.

It answers from your knowledge base, which is the same source your website chat answers from. Ask about your service area and it reads back the towns you actually cover. Ask what a job costs and it gives whatever pricing rule you published, then asks the questions it needs to book you a visit.

The part worth knowing before you buy is the failure path. When a caller asks something the knowledge base does not cover, the agent says it does not know and takes the question down in the caller's own words. It does not improvise an answer on your behalf. That is the behaviour you want from something answering your phone at 2am, and it is the behaviour most demos never show you.

Are the calls recorded, and do you have to tell people?

Every call is recorded and transcribed into your dashboard. That is useful and it is also a legal obligation with a specific shape, so here is the shape rather than a reassurance.

The Office of the Privacy Commissioner of Canada states the requirement plainly: an organisation "must inform the customer that they are recording a call, clearly state the purpose of the recording and ask for their consent." Consent can be implied, in the OPC's words, "if the customer proceeds with the call knowing that the conversation is being recorded and why." The same guidance notes that customers "have a right to request access to the recording at a later date."

So the disclosure is not a nicety you can skip to keep the greeting short, and the recordings are not yours to keep indefinitely without a reason. We configure the greeting to carry the disclosure. What the recordings are used for, how long you keep them and how you answer an access request are decisions about your business, and they stay yours. We are not your lawyers. The OPC's own page is linked below so you can read the rule rather than take our summary of it.

Why is this the only agent that costs extra?

Because a voice minute has a cost per minute and a chat message does not. Everything in the AI Front Desk runs on your website, where the marginal cost of one more conversation is close to nothing. A phone call is carried, transcribed and spoken back in real time, and that bill scales with how busy you are.

Pricing it inside the $388 plan would mean one of two things. Either quiet subsidy, where the businesses with fewer calls pay for the ones with more, or a plan price set high enough to cover the busiest customer. We would rather charge $199 a month to the people who want their phone answered and leave the plan at $388 for everyone else.

It also means you can drop it without touching anything else. The add-on comes off on its own, the Front Desk keeps running, and your website does not change.

Side by side

What it does with a call, by the kind of call.

The interesting column is the middle one. A demo shows you the call that goes well; this is every other kind.

How it works

Set it up once. It runs itself.

01

A call comes in

03

Books or transfers

Routine requests get booked; urgent ones get transferred to you with a briefing.

04

You get the job

You wake up to confirmed bookings instead of a list of missed calls.

Who it's for

Who a 2am answer is worth money to.

New patients calling after hours get a professional answer and can book on the spot.

Real estate

Every enquiry gets picked up the moment it lands, before it goes cold.

Frequently Asked Questions

Before you point your phone at it, ask these.

1Does it sound like a real person?

It uses low-latency voice AI with natural pauses and tone, and you can give it a custom voice and a name that suits your business. Most callers treat it as a person. We would still rather it introduce itself as an assistant, because a caller who works it out halfway through and feels handled is a worse outcome for you than a caller who was told at hello. That is a setting, and it is your call, not ours.

2What happens when someone needs me personally?

It detects urgency and transfers the call to your phone. Before it connects you it whispers a briefing that only you hear: who is calling and what they need. So you answer a call already knowing the situation instead of asking a stranger to start again. If you do not pick up, the caller is not dropped. The agent takes the details and the transcript is waiting in your dashboard with the recording attached.

3Do I have to tell callers they are talking to an AI?

Introducing itself as an assistant is a setting you control, and we recommend leaving it on for the reason above. Recording is a different matter and it is not optional. The Office of the Privacy Commissioner of Canada requires an organisation to inform the caller that the call is being recorded, state the purpose and seek consent, so the greeting carries that disclosure. Their guidance is linked below. Read it rather than relying on a vendor's summary of it.

4What counts against the 200 included minutes?

Time spent on connected calls. The add-on includes 200 voice minutes a month, which is the figure published on the pricing page and the one on your invoice. If your volume is regularly running past it we agree a top-up with you in writing before it applies, rather than letting an overage appear on a card. A one-off busy month is a conversation, not an invoice. Usage pricing that surprises people is most of the reason people distrust it.

5What if it gets something wrong?

It will, occasionally, and the honest version of this answer matters more than a reassurance. It answers only from the knowledge base you approved, so the common failure is being unhelpful rather than inventing something. Every call is recorded and transcribed, so a wrong answer is something you can find, read and correct at the source. Fix the knowledge base once and voice, chat and forms all change together, because all three read from it.

6Which calendars does it book into?

Google Calendar and Outlook, both natively. It offers slots that are genuinely open, books in real time and sends the caller an automatic confirmation, so you do not end up double booked by an agent working from a stale copy of your week. Anything other than those two is a custom integration that we scope and quote per project. That is a slower answer than claiming to work with everything, and it is the one still true on the day you switch it on.

7Do I need anything else to use it?

Yes. The AI Receptionist runs on top of the AI Front Desk, which is included in the $388 a month Hosting + SEO + AI Agents plan, and the Receptionist is $199 a month on top of that. The reason it is stacked rather than standalone is that voice, chat and forms share one knowledge base, one calendar connection and one CRM connection. Answer a question once and your phone and your website both start giving that answer.

8Can I cancel it without losing everything else?

Yes. The add-on comes off on its own, month to month, and the Front Desk carries on running. Your website does not change, your chat does not change, and your knowledge base stays where it is. Nothing about switching the voice line off touches the site itself, because you own the site and the agents sit on top of it. If you want it back on later it is the same switch in the other direction.

Where this comes from

One answer above is about the law rather than about our product. This is the regulator's own page, read on the date shown, so you can check the requirement instead of taking a vendor's word for what is required of you.
